An intake does not become a client before the conflict check.
When a prospective client walks in, the first question is whether you can take the work. The intake is logged, a conflict-of-interest search runs by name or ID, and the result is kept with who looked and when.
An intake reaches the client card in six steps.
However and whenever a prospective client arrives, the details land in the same form: name, email, phone and subject. The source field says whether the intake came from the web form, the phone or a referral, and every intake has a status and a responsible lawyer.

Intake
A check leaves a record.
On the check screen you type the applicant's name or TCKN or VKN. The result shows the matching record and its details, and says so plainly when there is no match. That way you learn whether an applicant was ever on record as an opposing party without opening a file.

Every check leaves a record: the name or ID searched, the result, the user who ran it and a timestamp. The result can be linked to a client or a case if you wish. The history list lets you reopen old checks; three months on, the answer to 'did we look that day?' is ready.
The decision is always the lawyer's. HukukBis searches the records and documents the result; it does not make the legal judgment on whether a conflict of interest exists. When you accept the intake the conversion panel opens. What was entered on the intake moves to the client card and is not retyped; the TCKN or VKN is checked for format and check digit, and an invalid number stops the conversion. After the conversion you can open the first case right away; in case management the file starts linked to the client card.

Does an intake arrive automatically from the web form?
The intake record takes the web form, the phone or a referral as its source. However it arrives, the intake lands in the same form and the same list; its status and assigned lawyer are followed there.

Is the ID verified when converting?
Yes. When you convert to a client the TCKN or VKN is checked for format and check digit. If the number is invalid the conversion is not completed and you are asked to correct it.

What happens if the search finds a match?
The result shows the type and details of the matching record, for example the same name on record as an opposing party in another case. A match alone is not a decision; you open the record, assess the relationship and keep your decision and note with the check. HukukBis does not make the legal assessment, the lawyer does.

Do two lawyers research the same applicant separately?
No. Every check records the name or ID searched, the result, the user and the time. The history list is shared; instead of researching again, the second lawyer opens the earlier check and, if needed, links the result to the client or case.

Who can see an intake?
Your roles decide who can view intakes, assign them and run checks. For example you can give the assistant role intake entry and search permission while keeping finance screens closed; the permission structure is covered on the roles and permissions page.
