Set up the board by stage.

Cases line up in columns that follow your firm’s workflow. Move a card from one column to the next and the case status updates, the closing date is written and the team sees the new status.

01/05Moving

A card moves column by column.

Follow one case card from preparation to decision: with every move the case status changes, a line lands in the activity log and the team sees the same board in its new state.

  1. 01/04

A new file starts as a card in the Preparation column: case number, client and responsible lawyer sit on the card. The case status is Preparation and an opening line lands in the activity log.

  2. 02/04

On 8 October the responsible lawyer moves the card to the In progress column. The case status updates at once, the user and time are written to the log, and the card shows in its new column on the team’s boards.

  3. 03/04

When the hearing is set for 14 October the card moves to the Hearing column and carries the deadline stamp. The card counts of the columns change with the board.

  4. 04/04

When the decision is issued the card moves to the Decision column. The column is marked closed, so the closing date, 4 November 2026, is written automatically; the case is not deleted and stays visible in the closed column.

02/05Card

The card carries the summary of the file.

The card shows the file number, the court and the responsible lawyer; a file with an approaching deadline carries a deadline stamp. Stages marked closed represent finished work, so the board separates cases being worked on from cases that are done.

03/05Rules

The rules of the board

The board is not a view but the case status itself. Your firm defines the columns, and moving a card is an action with a known owner.

  1. 01/06

    Stages are your firm’s workflow

The board is fed by the case status catalogue. An administrator adds a stage on the statuses screen, renames it and, if needed, marks it as “closed”; a saved stage becomes a column straight away. Intake, review, hearing, decision, enforcement or closed: the order is yours, and HukukBis does not force a ready-made workflow on you. How stages are defined is described in the catalogue section of case management.

Each column loads its cases in pages: a “load more” link under the column keeps crowded stages readable without slowing the screen.

A commercial law firm’s board may consist of intake, preliminary review, case filed, expert, decision, appeal and closed; at an enforcement practice the same board is built with notification, seizure, sale and collection columns.

  2. 02/06

Drag and drop plus an accessible Move menu

You drag a card with a mouse or on a touch screen and drop it into the target column. Dragging does not suit everyone, so every card also has a “Move” menu: pick the target stage from the menu and no pointer is needed. The board can be operated from the keyboard too, with focus travelling across cards and menus.

What happens in the background when a stage changes

Moving a card does more than change what you see; the file record stays consistent.

    1. Status is updated · The case takes the status of the target stage and appears with it in every list.
    2. Closing date is written · If the target stage is marked “closed”, the case closing date is recorded.
    3. Activity log entry · The user and the time are added to the case activity log.
    4. Search index refreshed · The case is found in search results with its new status.
    5. Event is published · The update event can reach your integrations through the webhooks you defined.
  4. 04/06

    Team view and permissions

The board is a shared surface for the team, while roles decide who may do what. See roles and permissions for how permissions are built.

Moves a card to another stage

In the weekly firm meeting the board works like a shared table: the responsible lawyer walks through their cards, moves a card on the spot when it needs to move, and closed files go into the closed column in a single move. The to-dos behind a card are assigned to people as tasks, so a decision taken in the meeting stays with an owner instead of sitting on the card.

The mobile app shows the kanban board read-only: on the road you see which stage each case is in, while moving cards is done in the web app. The case, client and notification screens of the mobile app are described on the mobile app page.

  6. 06/06

    Kanban or list?

Both show the same cases; which one to open depends on the job.

    Case list

    • Scan many records page by page
    • Search in detail by file number or court

04/05Dashboard

The board and the dashboard read the same data.

Case indicators and the average case duration come from the same records as the cards on the board. Move a card and the stage distribution on the dashboard changes with it; the rest of the management indicators are on reporting and dashboard.

05/05Questions

What do lawyers ask about the board?

01/06

Who defines the stages?

Users with the catalogue management permission define case statuses. A new status becomes a column on the kanban board, and the “closed” flag makes cases moved into that column receive a closing date.

02/06

Can I move a card without dragging it?

Yes. Every card has a Move menu where you choose the target stage. The board can also be used from the keyboard, so a mouse or touch screen is not required.

03/06

What happens when a case closes?

When you move a card into a stage flagged as closed, the closing date is written, the move is added to the activity log and the search index is updated. The case is not deleted; it stays in the closed column and in the case list.

04/06

Can cards be moved on mobile?

No. Kanban is read-only in the mobile app: you see the stage of each case and make the move in the web app.

05/06

Who can see the board and who can move cards?

Roles decide. Seeing the board needs the kanban read permission and moving a card needs kanban update. An intern can have a read-only board and the responsible lawyer the right to move cards; you set permissions around your firm as described on the roles and permissions page.

06/06

Is there a limit to the number of stages, and does a crowded column slow the board down?

The stages are the case statuses you define for your firm's workflow. Each column loads its cases in pages, and the “load more” link under a column lets you read crowded stages without slowing the screen.
